How to Set Expiration Dates for Guest Access in Your Studio
Managing guest access with expiration dates in your studio enhances security and control over your studio's collaborators. This guide details how to assign expiration dates to guest users and manage their access effectively.
Setting an Expiration Date for a User
Accessing the Share Modal:
Click the share button located in the top navigation bar of your studio to open the share modal.
Locating the User:
In the modal, find the user for whom you wish to set an expiration. This will be among the list of current users under the "Invite Users" tab.
Adding Expiration:
Select the permissions dropdown next to the user's name, and choose "Add Expiration."
Set a specific date and time in the future for when you want the user's access to expire.
Confirm by clicking "Set Expiration."
Reviewing Expiration Details:
A new section will appear next to the user’s name, indicating the exact date and time their access will expire.
Managing and Updating Guest Access
Editing Expiration: If you need to adjust the expiration date or time, click "Edit" next to the expiration details. You can then select a new expiration date and time and save the changes.
Removing Expiration: To delete an expiration date and grant the user full studio access, select "Delete" next to the expiration detail. This action removes the expiration constraint, making them a regular collaborator.
Viewing and Managing Guests
Accessing the Guest Tab: In the share modal, switch to the "Guest" tab to view all active guests (users with set expirations) and expired guests within your studio.
Reinviting Expired Guests: The guest tab also simplifies the process of reinviting guests whose access has expired. Simply update their expiration date, and save to grant them access again.
Collaborator Limitations
Be mindful of your studio plan's collaborator limit:
Free Plan: Up to 5 collaborators
Standard Plan: Up to 10 collaborators
Pro Plan: Unlimited collaborators
All guests, regardless of their access status, count towards your collaborator limit.
Use Cases
Event-Based Collaborators: For individuals helping produce specific events occasionally, setting an expiration date avoids the need for manual removal post-event.
Temporary Team Members: Grant temporary access to freelancers or external team members working on a project with a defined timeline.
Conclusion
Setting expiration dates for guest access is an efficient way to manage temporary collaborators, ensuring your studio remains secure while facilitating easy access for short-term projects or events. Remember to regularly review and adjust guest access as needed to align with your studio's operational requirements and collaborator limits.
